Job Description: Chapter Administrator
Regular and General Duties
Telephone, correspondence, postal service
Provide telephone answering service for members and public inquiry
Forward messages to appropriate parties and take follow-up action when warranted
Provide all mail/e-mail service and forward mail to officers/directors as necessary.
Make certain all interested parties have correct chapter mailing addresses,
E-mail addresses and phone numbers.
Order chapter stationery, envelopes, PC paper, ink cartridges etc. as needed.
Initiate written correspondence regarding membership and special meetings/Board meetings including sending membership packets to follow-up requests made by National or on a local level
Newsletters and membership mass mailings
- Assist in producing newsletter/flyers and mail them out as needed on a timely basis.
- Maintain mailing list/symposium committee list on personal computer.
- Prepare mailings with postage and labels (approximately 250 pieces.
- Coordinate drop offs/pickups with printer.
- Prepare copies of Materials for any program attendees on request.
- Issue Certificates of Attendance to appropriate parties.
- Furnish Board members with copies of all pertinent records.
Symposium Responsibilities
- Attend meetings, take down Minutes and provide copies to each member of committees.
- Receive record and retain all reservations from exhibitors and attendees as they come in.
- Deposit all monies and pay bills.
- Provide updates of exhibitors and/or attendees as requested.
- Receive and handle numerous phone calls.
- Do agendas, postcards, set up place for meetings
- Make arrangements for exhibit booths as needed.
- Help direct, execute and coordinate administrative details relating to preparation and correspondence for Symposium.
- Keep in contact to provide correct exhibitor names and any needed information.
- Visit site or e-mail contact to complete all preparations.
- Set up Chapter booth and act as receptionist evening for seminars and help finalize any preparations.
- Attend Symposium all day and act as receptionist/trouble-shooter.
Filing System/Database
- Set up and maintain filing system for all records/correspondence and maintain
- Chapter information in general
- Keep updated mailing lists for programs and symposium.
- Keep copies of Newsletters/flyers in publishing program.
- Equipment is owned by insert Chapter name but supplies and repairs are paid by Chapter Member
Accounting/Financial Reporting
- Pay all bills and receive all monies.
- Maintain checkbook.
- Record and deposit all income, reconcile bank statements and work with chapter treasurer to prepare reports, etc.
Liaison to National: Handle all telephone and written communication between chapter and National that comes to this address.
Special Projects: Work on any special projects that come up throughout the year, offer services to any board/committee member upon request.

- A track record of strategic leadership and successful delivery Working at board level or working closely with boards
- Managing financial systems and budgets
- Stakeholders and Partner negotiations
- Knowledge, skills and abilities:
- Broad sympathy for and a willingness to support Christian values and teaching
- Absolute integrity and a willingness to uphold the cathedral’s values.
- A serious commitment to the Chapter’s mission
- Knowledge of the relevant IT and communications skills
- Knowledge of essential management skills and processes such as health and safety legislation and employment law
- Strong analytical powers with matching judgment
- Ability to manage people and projects in a collaborative context
- Exceptional people skills and personal impact – with an ability to engage with and influence a variety of different people
- Strong oral and written communications skills and an ability to express complex ideas simply
- Understanding of good business practice
Education:
- Law graduate and business administration
- Previous experience in a similar is desirable
