Orders & Distribution Rolling Delivery Coordinator Job at One Acre Fund
Job Location: Kakamega, Kenya
Reporting To: Orders And Distribution Manager
One Acre Fund services hundreds of thousands of farmers each year and continues to grow. Each year, the farmers place orders throughout the year to gain access to credit to the products we offer. This is through the signing of a contract which acts as the record of the order. The Order and Distribution team takes all these orders and processes them in the order management system (Roster) to ensure we have a good record of what each farmer has ordered.
Once we have completed the orders and make the necessary purchases of the products, we then need to ensure we record the timely and accurate delivery of the goods so we have happy farmers. This order and fulfillment activity is a year round role to accommodate the multiple deliveries we provide our farmers. The Orders & Distribution Rolling Delivery Coordinator will coordinate, on a rolling basis, through the season clients order processing, train and supervise large teams of seasonal staff required to process enrollment contracts and deliveries.
Your Role
Primary Duties (70%)
- Co-ordination of Data entry activities to ensure Data Entry staff appropriately enter movements in the field and at warehouses, including Follow Up deliveries through Input and Distribution Sheet (IDS) and Truck Management Sheet (TMS) data entry, during off season deliveries
- With support of Orders and Distribution management, works on creation of rolling deliveries clients’ enrollment contracts
- Timely generation and quality checking of Rolling Deliveries TMS and IDS, working with the print team to ensure these documents are printed within the agreed timeline
- Owns and reports on rolling deliveries document returns from Field, on weekly basis
- Weekly reconciliation and reporting of input balances for rolling deliveries
- Maintains Telerivet Account and report on enrollment progress to stakeholders
- Generates lists of enrolled clients and shares with all teams on the delivery to help in planning
- Timely updating of Roster with clients enrolled into rolling deliveries
Other duties (30%)
- Zendesk Flex #1 – Support orders Zendesk cases during peak times
- Training and onboarding of data entry staff on Enrollment and Input delivery

Farmers First
- Co-ordinates with Data entry Leads to ensure enrollment contract double data-entry, quality checking, run comparison and correction process
- Any other duties as assigned by the Orders and Distribution Manager.
Our Requirements
- Demonstrated relevant work experience in the field
- Top-performing Diploma/undergraduate degree from a recognized University/College
- Preferably has experience in delivering trainings
- Strong excel and analytical skills
- Demonstrated computer skills in email, internet usage and Microsoft Office Suite
- Ability to systematically organize and prioritize tasks
- Ability to work under time pressures and deliver results
- Demonstrates High quality work with a strong attention to detail
- Proactive Problem solver
- Integrity and a Positive Attitude
- A willingness to Commit to living in Western Kenya for a long term period
- Willingness to travel on short notice
- Clear communicator and Fluent in English
- Passionate about Serving smallholder farmers
