CARE International in Kenya is looking for a well organized and highly motivated individual who is result oriented to fill the following position:

Job Summary & Purpose: Reporting to the Logistics Coordinator, the main purpose of this position is to receive, unpack and sort incoming spare parts and workshop consumables. 
Identify, label and catalogue items received, store items in warehouse, tool room or supply area, issue and distribute parts and consumables for internal use, replenish parts and consumables. 

Advise on use and appropriateness of parts, Maintain records on inventory control system as well as assist in shop floor fleet repair and maintenance.

He/she should ensure effective and efficient delivery of services and accountability supervise the store cleaner and guide MSU staff visiting the Warehouse. 
Ensure compliance as well as adherence to CARE policies, procedures and systems at his/her area of work.
Tasks and Responsibilities
 
R1: Warehouse Management
  1. Provide prompt, courteous and support to Service Technicians and other agencies who visit the Workshop within Mechanical Services unit in Dadaab.
  2. Issue parts requested by Technicians, after approval by Workshop Supervisor and authorization by the Supervisor.
  3. To manage multiple spare parts requests and issue them as per LSOP.
  4. Ensures proper security of the warehouses by locking and keeping the keys in safe custody and setting fire-fighting equipment at strategic points.
  5. Determine proper stock levels for commonly used parts and notify Workshop Supervisor to replenish the stock at reorder level.
  6. Recommend related Parts and Accessories, which may be required for a job or replacement of superseded parts.
  7. Provide information on cost of spare parts for repair orders while preparing pro former invoice.
  8. Notify service personnel when special parts or back-ordered parts are received.
  9. Supervise warehouse cleaner and ensure cleanliness of parts and accessories is done and keep inventory neatly stacked and orderly.
R2: Inventory Control
  1. Facilitate receipts, storage, and issuance of items/commodities as per Logistics Standard Operating Procedures (LSOP) & UNHCR TOR.
  2. Carry out inspection of warehouses, maintenance and report any needs i.e fumigation and repairs to the immediate supervisor.
  3. Ensure timely offloading of all UNHCR supplies at the warehouses and update the receiving documents/registers and provide feedback to UNHCR sub office in Dadaab through the Logistics Coordination office.
  4. Facilitate in receiving and offloading of all CARE (MSU) materials by providing direction on offloading bay and verifying the required specifications of the received goods.
  5. Conduct monthly stock take of all commodities in the warehouses, and update Commodity Tracking System (CTS).
  6. Conduct monthly technician tools and maintain a register.
  7. Carry out a daily reconciliation on issued special tools and equipments.
R3: Record keeping and report writing.
  1. Maintaining ledger records and stock/Bin Cards.
  2. Update daily records of incoming items into the Warehouse
  3. Preparing precise, analytical and accurate weekly, monthly and yearly stock reports.
  4. Compile and prepare monthly internal sector update on stocks and submit to Workshop Supervisor.
  5. Prepare any other report that may be required by the sector.
  6. Provide monthly reports on stock levels and parts replenishments as necessary.
R4: Commodity Tracking System
  1. Post all receipts and issued items in the commodity tracking system
  2. Ensure accuracy of data entered in the CTS.
  3. Liaise with the supervisor for any new spare part to be included in the CTS catalogue.
Authority
  • Spending Authority: none.
  • Supervision: Warehouse Cleaner
  • Decision Making: Makes normal decisions within prescribed standards.
Contacts / Key Relationships
  • External: UNHCR, WFP and Other IPs with CARE MOU.
  • Internal: All CARE staff.
Working Conditions / Physical Demnads
The position is based in Dadaab Main Office with occasional visits to the Camps and other program sites. 
This is a non-family work station. Hot weather is prevalent throughout the year with limited basic amenities. 
Road movement between the work station and Garissa as well as inter-camp movement must be under police escort (Scheduled convoys), with strict adherence to safety and security instructions all the time. 
It is a six days work station with a compensatory time off according to CTO policy.
The incumbent shall reside in the CARE compound while executing official duties and shall obey and adhere to residential compound regulations.

Education: Diploma in Auto / Mechanical Engineering / Technician III or Final Craft.

Experience: 
  • Demonstrate relevant experience of at least 3years in a busy motor vehicle workshop or a warehouse facility. 
  • Working knowledge of logistics and supplies management is an added advantage.
Certificate:  
  • Certificate in store/supply management and 
  • Computer literate with good knowledge of MS office and fleet software.
