JOB TITLE: Deputy Executive Secretary

REPORTS TO: Executive Secretary

As a part of ASSAR administration support staff the Deputy Executive Secretary  be working under the Executive Secretary.

PRIMARY RESPONSIBILITIES

-Prepare correspondence, reports, and materials for publications and presentations;
-To monitor the implementation of instructions ASSAR;
-Maintain Board members and Executive Secretary calendar.
-Prepare and maintain ASSAR expense report.
-Assist the Executive Secretary to Setup and coordinate meetings and conferences
-Assist the Executive Secretary to Create, transcribe, and distribute meeting agendas and minutes.
-Collect from insurers or any other partner of the statistical data on, analyze and disseminate to users;
-Keep track of the local Co insurance and establishing of regular reports (monthly, quarterly, annually) on the situation of co-insured risks, premiums paid and claims registered;
-Perform general clerical duties to include but not limited to: photocopying, mailing, and filing
-Maintain hard copy and electronic filing system.
-Research, price, and purchase office furniture and supplies.
-Supervise support staff.
-Other duties as assigned by the Executive Secretary.

DUTIES include the following

-Computer word processing and produce graphics an reports, correspondence, mail shots, articles and newsletters;
-Creation and maintenance of computerized reports;
-Organization of boards and management meeting
-Taking meeting minutes;
-Assist the Executive Secretary in organizing conferences, seminars, workshops and other meetings; -Management of all general filling and office functions;
-Project a professional company image through in-person and phone interaction;
-Other duties as required by the Executive Secretary;

EDUCATION, SKILLS AND RELEVANT EXPERIENCE

Essential

-Strong knowledge of secretarial and administrative procedures;
-Strong knowledge of Microsoft Offices and databases; > Experience of manipulating databases and numerical data and presenting them in a way in which they can be easily interpreted;
-Strong knowledge of customer service principles and practices;
-The ability to meet deadlines, including production work to an agreed timetable
-Good fluency in both written and oral English and French; > Good professional presentation skills;
-Excellent organizing and planning;
-Typing skills averaging 50 wpm;

Desirable

-A general knowledge of administrative procedures in Insurance Company or NGO;
-Experience of and administrative role in an Insurance Company or NGO; Excellent analytical and problem solving and attention to details;
-Relevant Qualifications
-Bachelors Degree diploma in Economics, Statistics or Management; > At least 5 years relevant professional experience.
