Position Summary
International Business and Technical Consultants Inc. (IBTCI) is currently looking for a dedicated Office Manager to support a five-year project with USAID / Kenya and USAID / East Africa for Evaluation Services and Program Support of the health programs in the region.

The Office Manager will be hired for the duration of the project and will support IBTCI by overseeing all office operations and maintaining efficiency in the workplace.

The position is based in Nairobi and only open to permanent residents of Kenya.
Responsibilities:
  • Purchase and store supplies so that office necessities are readily available.
  • Handle incoming and outgoing mail, faxes, and deliveries.
  • Answer phones and emails in a professional and timely manner.
  • Organize office training when necessary.
  • Support the management team with logistics around visitors, office meetings and trainings.
  • Back-up electronic files using proper procedures.
  • Provide secretarial and administrative support to management and other staff.
  • Schedule and organize activities such as meetings, travel, bookings for hotels, airport pick up, conferences and department activities for all members of the department.
Qualifications
  • Bachelor’s degree or equivalent experience.
  • Minimum 5 years of related experience, preferably with USAID contracts or international organizations.
  • Strong interpersonal skills.
  • Excellent written and verbal communication skills.
  • A high degree of familiarity with Microsoft Windows, Word, and Excel.
  • Effective time management and planning.
  • Proficient in Microsoft Windows.
