Title: Supplier Management Assistant
Reports To: Finance Dept – Supplier Manager
Employment Terms: Six (6) Months Contract
Job Summary:
Supplier management Assistant;
Assist in sourcing projects for commodities and services, supplier contracts database management, maintenance of supplier information data base, coordinating supplier evaluation, purchase order management;
purchase to payment compliance monitoring and advisory and other duties in the supplier management operations.
Major Responsibilities:
Supplier Management
- Management of supplier information data base; ensure all the supplier details are correct in the system and up to date.
- Assist Supplier Manager in supplier evaluation process. This includes coordinating meetings with stakeholders, follow up action points and record feedback for follow up discussions.
- Assist Streamlining Purchase to pay process with both the suppliers and need owners.
- Follow up for compliance from the suppliers on the various new requirements; new payment terms and new invoice process
- Manage contract data base; Update the newly signed contracts and advise on those about due for renewal.
Order management
- Raise Purchase requests, follow up for approval and converting to purchase order and following up with vendors on delivery.
- Close open orders; Go through the open order and liaise with end users and suppliers to close the ones that are not going to be delivered and follow up the ones to be delivered
- Assist in supplier Manager in sourcing projects
