Job Vacancy: Office Assistant
Department / Project: Program Support
 
1.0 Job Summary: The purpose of this position is to provide support services towards ensuring the cleanliness of the office environment, support services related to documentation and messenger services as well as any other official support services requested.
 
2.0 Responsibilities and Tasks
 
2.1 Office Cleanliness and Other Support Services
a) Ensures the cleanliness of the offices and its environment
b) Ensures that the wash rooms are clean and the accessories (tissues papers, detergents, towels etc) in use are adequately availed and replaced where necessary
c) Dusts office documentation equipment (computers/printers/photocopiers/faxes) and desks on a daily basis
d) Keeps windows in assigned areas clean
e) Maintains the office landscape thorough attending to the lawn, flowers, outdoor furniture, plants and fencing
f) Provides clerical assistance to staff through photocopying, binding, filling
g) Receives, distributes and dispatches mails
h) Prepares and serves tea for staff as well as guests
i) Makes requisition for the purchase of items used frequently within his/her duties (milk, sugar)
 
2.2 General
a) Any other duties as may be assigned by the supervisors
 
3 Required Qualifications
  • Form four level KSCE Grade C
  • 3 years of experience in similar positions
  • Good knowledge of English and Kiswahili
  • Training in housekeeping or related Courses
  • 5 years’ experience may cover lack of Training.

  • Overall reports and is accountable to Assistant Administration Officer

7 Working Conditions
  • Arriving at the office very early in the morning
  • The position has exposure to water and dirt contamination
  • Messenger travel gives exposure to travel risks
  • The varied range of work puts the holder into a position of being not able to project the amount of work load
