Finance and Administration Manager Job Vacancy at International NGO  in Kenya September 2013

 

Our client, an International NGO seeks to recruit for the position of Finance and Administration
Manager
for its Kenya operations.
The person is expected to be an integral part of the senior management team and work closely with the management, technical and operations teams.
S/he will actively contribute to the professional management of the operations of the organization in accordance with the strategy, policies, structures, systems and procedures.
The position is also responsible for ensuring compliance with all regulatory requirements as relating to company and Public Benefit Organizations law.

The position will ensure that the financial function is effectively and efficiently managed in accordance to the stipulated policies, regulations and agreements in dealing with donor funding.
 

The purpose of the job will include:
  • Financial Planning: Work closely with the consortium member finance staff in developing smart financial work plans, throughout the project period.
  • Financial Monitoring: Ensure quality checks in the financial reporting in all the consortium member organizations
  • Expenditure Verification/Audit: Ensure that donor agreements and requirements are realized as per schedules and timeframes.
  • Training: Provide training on financial management to internal staff and partners.
  • Financial Reporting: Ensuring that timely financial reports are made to management, donor, regulators and other stakeholders.
The duties and responsibilities of the position include:
  • Be the overall in charge of financial management of the country operations.
  • Provide efficient, timely, and accurate financial management information, statements, books of accounts and reports to the management and other stakeholders.
  • Coordinate the development and participate in the implementation of strategic plan and annual operating and financial plans.
  • Prepare annual corporate financial projections and budgets and manage the budget monitoring and control process.
  • Monitor and manage the overall liquidity and the cash flow, and control costs and enforce adherence to financial plan and projections
  • Disseminate accounting guidelines and information provided by relevant accounting bodies to ensure adherence to professional ethics and standards of accounting.
  • Manage internal financial management processes that include periodic monitoring and compliance processes, annual audits, liaise with external auditors, tax consultants and Government Revenue Authorities.
  • Put in place adequate internal controls and risk management measures
  • Ensure smooth contract management processes with partner organizations, donor agencies and service providers.
  • Carry out monitoring and ensure compliance with the financial policies and procedures.
  • Provide technical assistance in financial management and administration to partner organizations, projects and programmes.
  • Facilitate capacity building for staff and partner organizations in financial management.
  • Ensure effective and efficient general administration, logistics, procurement and proper maintenance of furniture and equipments are in place.
  • Advice management and ensure the organization is in compliance with all regulatory requirements as relating to company and Public Benefit Organizations law.
The candidate should be a graduate degree in financial management, business administration, or related field and also is a Chartered/Certified Accountant (CPA – K, ACCA) and has an affiliation and an active member of a professional accounting body.
The relevant work experience should be at least 10 years in financial management in an INGO (over 5 years at senior management level), and international work experience within the Region.
The person should have proven record as an excellent communicator and a strategic thinker and practical working experience with large international donors.
Other attributes include:
  • Experience working in the development sector in Kenya preferably in the same position with an INGO.
  • Experience working on USAID-funded projects
  • Knowledge of accounting software and Excellent computer skills with high proficiency in Microsoft excel and strong appreciation of use of both QuickBooks and SAGE accounting software
  • Experience in working in a dynamic, fast-paced and multi-cultural organization.
