Vacancies
The office of the Kajiado County Public Service Board wishes to recruit competent and qualified persons to fill the following positions as per the constitution of Kenya 2010 under Article 176 of the Constitution and the County Government Act No. 17 of 2012 section 45,50 and 51.
 
Executive Secretary 
Job Group ‘M’
1 Post

Duties and responsibilities:-
  • Record dictation in short hand and transcribing it in long hand
  • Perform general office tasks
  • Typing from draft or recording from dictation machines and operating other related machines
  • Perform some personal assistant duties as directed
  • Manage the office diary
  • Handle telephone calls and appointments
  • Ensure security of office records, equipment and documents including classified materials
  • Prepare responses to routine correspondence
  • Undertake any other secretarial duties that may be assigned
Requirements and competencies for appointment
  • Be a Kenyan citizen
  • Diploma in Secretarial Studies from KNEC or its equivalent qualification from a recognized institution in Kenya with 10 years working experience OR
  • A bachelor’s Degree in Secretarial Studies or its equivalent with not less than 5 years working experience
  • In addition must have the following qualifications from the Kenya National Examination Council:
  1. Shorthand III (minimum 110 w.p.m)
  2. Typewriting III (50w.p.m)/ computerized document processing III
  3. Business English III communication II
  4. Commerce II
  5. Office management III/Office administration and management III
  6. Secretarial duties
  • Certificate in computer applications (windows, Ms-word, Ms Excel, Power Point, Ms Access and internet ) from a recognized institution
  • Have the ability to handle confidential and sensitive information
  • Strong organizational skills and attention to detail
  • Satisfy the requirement of chapter six of the Constitution of Kenya 2010
Personal Secretary 
Job Group ‘K’

Duties and responsibilities:-
  • Record dictation in short hand and transcribing it in long hand
  • Arranging for meetings and conferences, including making the necessary business travel arrangements
  • Typing from draft or recording from dictation machines and operating other related machines
  • Perform personal assistant duties for the departmental manager in charge as directed
  • Attend to visitors/ clients
  • Handle telephone calls and appointments
  • Responding to routine requests for information
  • Ensure security of office records, equipment and documents including classified materials
  • Prepare responses to routine and correspondence
  • Undertake any other secretarial duties that may be assigned
Requirements and competencies for appointment
  • Be a Kenyan citizen
  • Diploma in Secretarial Studies from KNEC or its equivalent qualification from a recognized institution
  • In addition must have the following qualifications from the Kenya National Examination Council:
  1. Shorthand III (minimum 110 w.p.m)
  2. Typewriting III (50w.p.m)/ computerized document processing III
  3. Business English III communication II
  4. Commerce II
  5. Office management III/Office administration and management III
  6. Secretarial duties 11
  • Certificate in computer applications (windows, Ms-word, Ms Excel, Ms Access and internet) from a recognized institution
  • Satisfactorily served in the grade of secretary II in the county or a comparable position with similar responsibilities in like organizations for at least (3) years
  • Have the ability to handle confidential and sensitive information in a professional manner
  • Satisfy the requirement of chapter six of the constitution of Kenya 2010

  • Certificate of good conduct from the Criminal Investigations Department (CID)
  • Clearance certificate from Higher Education Loans Board (HELB) but exempted for Diploma holders
  • Tax Compliance certificate from Kenya Revenue Authority (KRA)
  • Clearance from the Ethics and Anti-Corruption Commission (EACC)
  • Clearance certificate from the Credit Reference Bureau (CRB)
