Supply, Implementation and Commissioning of an Enterprise Resource Planning (ERP) System

University of Kabianga is a public University which was established in 2007 as a campus of Moi University and later elevated to a constituent College in May 2009.

The University was chartered in March 2013. It is located in Kabianga Division of Kericho West District in Kericho County.

The ERP will allow the university to integrate all data and processes as well as its day-to-day activities into a unified system that improves efficiency by facilitating coordination among its campuses, schools and departments; providing information and tools to support enhanced decision-making and a platform that allows timely adaptation to the rapidly changing business environment.
 

Scope of work

The Expression of Interest (EOI) is sought from firms or joint ventures with capacity and competence on ERPs to undertake the following:

a) Supply and install highly integrated modules (Student Management, Financial Management, Procurement & Stores Management, Asset Management, Time-Table Scheduling, Library Management, Human Resources Management, Workflow Management, Catering Management, Hostels Management, and Web Portals among other custom solutions that may be required by the University).

b) Migration of the existing data to the new system.

c) Provide Information Systems Security and support.

d) Provide adequate staff training and documentation.

e) Provide warranty and post warrant support services.

f) Keep the University abreast with the latest innovations in Information Systems Management.

Expressions of Interest should include, on minimum

1. Company Profile: Company name, Country and year of incorporation; Copies of valid tax compliance certification, PIN certificate and certificate of incorporation; Locations of offices, Contact Information; Principal activities (Design and software development, vendor, integration and installation, etc.)

2. Experience and Interest: General information concerning proposed products and services; Brief description of technical platform required to support the solution, Brief description of project methodology;

3. Provide names and CV’s of key personnel demonstrating technical capability to undertake this assignment;

4. Client Lists: List of clients in a similar sector, Supported by recommendation from at least three (3) major relevant clients.

The University invites firms to express their interest by providing information that demonstrate their qualification to supply, implement and commission an ERP solution.

Companies may associate in order to amplify their qualifications.

The Expression of Interest shall be enclosed in a plain sealed envelope clearly marked “EOI – Supply, Implementation and Commissioning of an ERP System” addressed to:

And deposited in the Tender Box at the University premises in Kabianga or sent by post so as to reach not later than 12th February, 2014.

The EOIs submitted later than the indicated closing date and time shall be automatically disqualified.

Opening of the submitted Expressions of interest will take place immediately after the closing date and time at 10.00 A.M in the main boardroom.

Consultants or their representatives are allowed to witness the opening.
